Biometric Data Notice and Retention Policy
Version 2026-10-20. Effective October 20, 2026.
This notice explains the optional selfie check on Guardix Jobs. We provide it before collecting anything, and we collect nothing unless you give written consent by ticking the box on the selfie screen. It is also our public retention and destruction policy for biometric identifiers.
What we collect
When you choose the selfie check, you take a selfie. Our service provider, Amazon Web Services (Amazon Rekognition), measures the geometry of the face in your selfie and in the photo on your license, and compares them. Those face measurements are biometric identifiers under laws such as the Texas Capture or Use of Biometric Identifier Act and the Illinois Biometric Information Privacy Act.
Why
Only to confirm that the security license on your account belongs to you, so that no one can apply using a borrowed or stolen license. We don’t use it for anything else: not for sign-in, tracking, marketing or employer decisions.
It’s optional
You can use Guardix Jobs without the selfie check. A person on our team can review your license instead.
How long we keep it, and how we destroy it
- Your selfie is deleted from our storage as soon as the comparison finishes.
- If anything interrupts that, an automatic rule permanently deletes any selfie left behind within 2 days of upload. Selfies are kept in separate storage with no backup copies.
- We never store face measurements. Amazon Web Services computes them for the comparison and doesn’t keep them. We have opted out of AWS using this content to improve its services.
- We keep only the result (match or no match), its date, and a similarity score, which can’t be used to recreate your face.
This is far shorter than the limits the law sets, which require destruction within a reasonable time and no later than one year (Texas) or three years (Illinois) after the purpose is met.
Who receives it
No one but Amazon Web Services, acting for us to do the comparison. We never sell, lease, trade or profit from biometric identifiers. We never show them to employers. We would disclose them only if required by law, and because we delete them right away, we would almost never have any to disclose.
How we protect it
Selfies are encrypted in transit and while stored, kept in a private storage area that only our servers can reach, and protected with at least the care we use for our most sensitive information.
Withdrawing consent
You can withdraw at any time in Account settings. We won’t run the check again unless you consent again. Anything collected earlier has already been destroyed.
