Privacy Policy
Version 2026-10-20. Effective October 20, 2026.
This policy explains what personal information STEM Technology, LLC, doing business as Guardix (“Guardix Jobs,” “we”) collects, why, who sees it, how long we keep it, and your choices. We ask for your consent before we collect anything at sign-up, and we keep a record of what you agreed to.
The short version
- We collect what’s needed to run a job marketplace for licensed security work.
- We never sell your information or use it for targeted advertising.
- Employers see your profile only when you apply to their job. They never see your phone number, ZIP code or selfie.
- Optional texts and the selfie check are off unless you turn them on.
- You can download or delete your data at any time.
Information we collect
| From | What |
|---|---|
| Guards | Mobile number; email address, if you add one for application updates; name; home ZIP code; how far you’ll travel; years of experience; kinds of work and availability; security license details (level, issuing state, number, expiration date) and a photo of each license; applications; messages; consent choices. |
| Guards who add experience | Work history, certifications and their expiration dates, military and law enforcement history that you enter yourself (we do not check it), languages, a short summary, and a resume file if you upload one. |
| Guards who choose the selfie check | A selfie, used once and deleted. See the Biometric Data Notice. |
| Employers | Name; work email; company legal name; the last 4 digits of the EIN (the full EIN is converted to a one-way code and not stored); security company license number; business address; license certificate; job sites and posts; hiring decisions; messages; team members; consent choices. |
| Everyone, automatically | IP address, browser and device type, sign-in times, and records of security-relevant actions (for example sign-ins, exports and team changes). |
Cookies. We use only cookies needed to keep you signed in and to complete sign-up. We don’t use advertising, analytics or tracking cookies.
We don’t collect Social Security numbers, bank details or payment cards.
How we use it
- To run Guardix Jobs: accounts, job search, applications, messages and hiring.
- To review licenses: a person on our team looks at the license details and photo you give us, and we record the result. We do not currently send your license details to the issuing state agency.
- To show guards jobs near them, by measuring distance from their ZIP code.
- To send texts: sign-in codes and account notices; and, only if you opt in, job alerts and license reminders.
- To check resumes you upload: we scan the file for viruses, read its text, and look for phone numbers, email addresses, home addresses and Social Security numbers. If we find any, employers get a copy we make from the text with those details hidden, not your original file. If we can’t read the text, employers don’t see the file.
- To fill in your experience from your resume, only if you tick the box for that upload: an AI service (Amazon Bedrock) reads the text of your resume and suggests jobs and certifications. Before that, we remove your name, phone number, email, home address, ID numbers, birth date, web links and reference or family lines, and we check again before sending. Your past employers, job titles and dates are kept, because they are the work history. Nothing is added to your profile until you confirm it. If you do not tick the box, no AI is used on your resume.
- To help employers write job posts: an AI service drafts and checks job post text from what the employer enters. Guard information is not used for this.
- To keep people safe: detecting fraud and fake accounts, blocking messages that ask for money, enforcing our terms.
- To meet legal obligations and respond to lawful requests.
- To improve Guardix Jobs, using summary statistics that don’t identify you.
Automatic job-rule matching. Employers can set rules for each job (license level, distance and years of experience). Applications that don’t meet those rules are moved out of the employer’s main list. The employer can still choose to see them. We don’t use automated decisions that have legal effects on you beyond this.
Who we share it with
- Employers you apply to: your name, license levels, status and expiration dates, distance from the job, experience, work history, certifications, availability, messages you send them, and your resume if you choose to include it (with contact details hidden as described above). Each time an employer opens your resume, it is recorded. Never your phone number, ZIP code, license photo or selfie, unless you let that employer contact you directly (see below) or an employer exports a candidate’s file after making an offer, in which case they receive your license photo.
- Employers you let contact you directly: on each application, you can choose to let that employer text you from its own phone number or email you from its own address. If you turn this on, that employer receives your phone number or email, and its own privacy practices also apply to those messages. You can turn it off anytime, and replying STOP to a text stops texts from that number.
- Service providers who work for us under contract: Amazon Web Services (hosting, storage, encryption, malware scanning, reading text from documents and photos, face comparison, and the AI service that suggests your experience and helps employers write job posts), Twilio (texts and sign-in codes) and Amazon SES (emails) and Google (turning ZIP codes and business addresses into map locations). They may use your information only to provide their service to us.
- The Guardix workforce platform: only in the future, and only if you separately agree when an employer that hired you asks to send your details there.
- When the law requires it, or to protect someone’s safety, or as part of a merger or sale of our business (with notice to you).
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
How long we keep it
| Information | Kept |
|---|---|
| Selfies and face measurements | Deleted right after the comparison; anything left behind is removed automatically within 2 days, with no backup copies |
| Profile, experience, resume, licenses, license photos, applications, messages | While your account is open; deleted within 30 days after you delete your account |
| Consent records and security logs | 5 years after the event, to show what you agreed to and to protect against fraud and legal claims |
| Backups | Overwritten within 35 days |
Files an employer exported are held by that employer under the Employer Agreement.
How we protect it
Encryption in transit and at rest; two-step sign-in for every employer and staff account; sign-in tokens that page scripts can’t read; a private network for our databases; limits on repeated attempts; and an activity log of sensitive actions. No system is perfectly secure. If a breach affects you, we’ll notify you as the law requires.
Your rights and choices
- See and download your data: Account settings, “Download my data.”
- Correct it: edit your profile, or contact us.
- Delete it: Account settings, “Delete my account.”
- Withdraw optional consents: job alerts, reminders and the selfie check, anytime in Account settings. Reply STOP to any text to stop texts.
- Appeal: if we decline a privacy request, reply to our decision to appeal. We’ll answer within 60 days, and you may contact your state attorney general.
You can also email privacy@guardix.com. We’ll confirm your identity before acting, and respond within 45 days. We won’t treat you differently for using these rights. Depending on where you live (for example Texas, California, Colorado, Virginia or Illinois), you may have additional rights under state law; we honor them.
